Sales Portal
Sales Portal
Secure deal workspaces and document sharing for sales teams.
A sales portal gives sales teams and the customers they sell to a single secure place to work a deal. Each deal gets its own workspace, documents are shared under governed access rather than by attachment, and every view, download and access change is recorded.

SALES PORTAL
Every deal in its own secure room, with a record of who saw what.
A sales portal is where a selling team and the customer it is selling to work a deal together. Each deal or account gets its own workspace, documents are shared under governed access rather than as attachments, and every view, download and access change is written to a history nobody can rewrite.
4 portal types. 1 architecture. Sales is one of the three core pillars ZINFI URM was built around.
How each example works
Example 01
Give every deal its own secure room
A workspace per deal or account, provisioned for the people who belong in it and nobody else. A sales operations manager opens a workspace, invites the customer and the selling team, and everything that follows stays in one place.
- Create a workspace, invite participants, and set the folder structure in one flow
- Owner, participant count, and last activity on every workspace tile
- Access is scoped to the account, so no one ever sees another customer's room
Deal material stops living in personal inboxes and starts living where both sides can find it.

Example 02
Share the file without emailing the file
Uploads, nested folders and document history inside the workspace, with downloads served through short-lived links rather than permanent URLs. A sales rep shares a proposal knowing it cannot be forwarded into open circulation.
- Upload, file into folders, and download through time-limited links
- Owner, size, and uploaded date on every document row
- Deleted items go to a recoverable trash, never a hard delete
Nothing is shared by attachment, so access can still be withdrawn after the file has been sent.

Example 03
Know exactly who can see what, at a glance
Role-based access, tokenized invitations and an access-request queue in one screen. A sales operations manager grants, reviews and revokes access without raising an IT ticket.
- Invite by email, assign a role, and revoke access from one list
- Role, account, and invitation status on every person
- Incoming access requests are triaged and approved in the same view
Access is a decision someone made and can point at, not a link that quietly spread.

See who opened the proposal, and when
Every view, upload, download and access change recorded as an append-only history. A sales rep sees which documents the buying committee actually opened; compliance sees a record nobody can rewrite.
- Views, downloads, uploads, and access changes in one chronological feed
- Actor, action, document, and timestamp on every entry
- History is append-only — entries cannot be edited or deleted
Buyer engagement becomes a signal you can act on, instead of a guess.

Example 05
Put approved material in reach and see what works
A published library of approved sales content, plus usage reporting across workspaces and accounts. A sales operations manager sees which material is being used and which workspaces have gone quiet.
- Browse approved content, publish into a workspace, and search by topic
- Views, downloads, and last-used date on every content item
- Usage by account and workspace surfaces engagement and silence alike
Content decisions are made from what buyers actually open, not from what the team assumes they read.

WHAT THIS UNLOCKS
What Sales Portal unlocks for the program
A working deal-collaboration surface in one system — per-deal workspaces, a secure document library, role-based access and invitations, an append-only activity trail and content usage reporting — replacing the emailed attachments and open share links most sales teams still run on.
The examples above are illustrative — built to show the portal's core screens and how they work together, not a full walkthrough of every feature. For a detailed look at the platform, schedule a live demo.

Frequently asked questions
Straightforward answers about ZINFI's Sales Portal — how it's built, who uses it, and how it differs from sharing deal material over email and open links.
- What is a sales portal?
- A sales portal is the system a company gives its sales teams, and the customers they sell to, to work a deal in one place. It typically covers a secure workspace per deal or account, a document library shared under governed access, invitations and access requests, an activity trail of every view and download, and a library of approved sales content. Rather than a deal running through emailed attachments and open share links, both sides work from one governed record. In ZINFI's architecture, a sales portal runs on the same Experience, Connectivity, Orchestration and Harness layers as every other portal type.
- Who is a sales portal built for?
- Two audiences use a sales portal day to day. A sales rep logs in to share proposals and contracts into a deal workspace, pull approved material from the content library, and see which documents the buying committee actually opened. A sales operations manager uses the same portal, or an admin view of it, to provision workspaces, invite and revoke access, triage access requests, and report on usage across every account.
- How does a sales portal fit into ZINFI's URM architecture?
- A sales portal is built entirely on ZINFI's URM architecture — it doesn't have its own separate stack. The Experience layer renders its screens; Connectivity carries data in and out through MCP, Zapier, or ZINFI's native connector; Orchestration holds the shared workspace, document and activity data; and the Harness governs what any automation or agent is allowed to do inside it. Nothing about a sales portal is bespoke at the infrastructure level — only the screens and the data model are specific to sales.
- What can a sales rep do in a sales portal?
- A sales rep uses a sales portal to run the working side of a deal: opening a workspace for the account, sharing proposals and contracts into it rather than as attachments, pulling approved content from the library, and seeing which documents the customer opened and when. Rather than emailing files and hoping, they get a record of what was shared and what was read.
- What can a sales operations manager do in a sales portal?
- A sales operations manager uses a sales portal to govern the collaboration itself — provisioning a workspace per deal or account, inviting participants with a defined role, triaging incoming access requests, revoking access when an engagement ends, and reporting on document and content usage across accounts. It's the same portal a rep logs into, viewed from the operations side rather than the individual-seller side.
- How does a sales portal connect to other systems?
- A sales portal connects outward through the same three channels every ZINFI portal uses: Zapier for CRM, marketing, and finance systems most organizations already run; MCP for structured exchange with AI agents and tools; and ZINFI's own native connector for platform data. Which channel a given integration uses depends on what's on the other end, not on anything specific to sales portals.
- How is a sales portal different from sharing deal material over email and open links?
- An attachment cannot be recalled and an open share link keeps working long after the deal is over. A sales portal replaces both with a workspace whose access is granted per person and can be withdrawn, downloads served through short-lived links rather than permanent URLs, and an append-only history of every view, download and access change — all governed by the same Harness that applies across the rest of ZINFI's architecture.
- Can a sales portal be customized for our organization?
- Yes — the screens, personas, and sales-specific fields in a sales portal are the customizable layer. What doesn't change is the underlying architecture: every sales portal ZINFI builds still runs on the same Experience, Connectivity, Orchestration, and Harness foundation, which is what keeps a customized portal from becoming a one-off system nobody else can maintain.
- Is a sales portal AI-native?
- Yes, in the same sense the whole architecture is: agentic AI is built into the platform, but it operates inside the Harness, which governs what any agent is allowed to do before it acts. A sales portal doesn't bolt AI on top of a static system — the governance is structural, not an add-on.
- Is a sales portal part of ZINFI Unified Revenue Management (URM)?
- Yes. A sales portal is one of the portal types built on ZINFI's Unified Revenue Management (URM) architecture, alongside partner, customer, and alliance portals. ZINFI URM now runs four portal types on one architecture; partner, sales, and customer remain the three portals closest to URM's original definition, with the alliance portal extending the same architecture to brand-side relationships.
- How long does it take to stand up a sales portal?
- Because the Experience, Connectivity, Orchestration and Harness layers already exist, the work is configuration rather than construction — defining workspace structure, roles and who approves access. Organizations typically start with one team and one set of accounts, then widen scope once the first cohort is live, rather than moving every deal at once.
- How much autonomy do the AI agents in a sales portal have?
- Exactly as much as you set. The autonomy ladder runs Foundation, Assist, Act and Autonomous, and each step is chosen by you rather than by the platform. At Foundation nothing acts on its own; at Assist an agent drafts and a person approves; at Act an agent completes bounded tasks inside the Harness; at Autonomous it runs an end-to-end flow within the same guardrails. Starting at Foundation is a legitimate place to run a program from.
